Basic spreadsheets create a lot of opportunity for errors. By using custom formulas and data validation, you automate a lot of the work in your spreadsheets. In this video, you’re going to learn how to lock cells with data validation.

Why would you do this? As in the example in the video – you may have a row that is conditional on another row. If it’s blank, others who see or use your spreadsheet might think they need to enter a value in the cell. Yet, if you are not offering a discount on the product you want that cell to LOCK

Here’s every step we took in this video

– Data, Data Tools, Data Validation
– Under the Settings tab, use to the dropdown menu to Allow List, check the ignore blank and in-cell dropdown boxes, and input Yes,No for the source
– Under Conditional Formatting, select New Rule and for the Rule Type Use a Formula to determine which cells to format
=Select Condition Cell=/”Yes/” and go to Format to set color if cell is open
– Set default color if cell is locked
– You can now see how the cell changes colors when our condition cell is No
– In Data Validation, Allow Custom and for the formula input =Conditional Cell=/”Yes/” and uncheck the Ignore blank box

MAGIC! Your spreadsheet will automatically lock the cell if it doesn’t fit your conditions.
